Budget Vehicle Rental Procedures

General Information
- Rental vehicle packets/keys are to be picked up from and returned to the Information Desk. Please do not lock keys, credit cards, receipts, or paperwork, or personal items inside the vehicle. Return keys along with your packet containing the credit card and receipts to the Info Desk.
- Vehicles are to be picked up and returned to the Facilities lot (parking lot D) on the south side of campus.
- Smoking is prohibited for all individuals driving or riding.
- The cost of gasoline is in addition to the mileage rates on rentals. Vehicles must be returned with a full tank of gas or the driver will incur a violation fee.
- Vehicles may not be rented for personal use.
- Toll fees and traffic violations MUST be noted on the form included in the vehicle packet.

Driver Eligibility Policy
- Everyone who drives a rental vehicle must hold a valid driver's license (without any moving violations within the past 6 months).
- A pdf color copy of the driver’s license(s) should be emailed five days in advance to ckrob@cornellcollege.edu. It will be solely at the discretion of the college administrative staff if driving privileges will be granted based on a search of driver/motor vehicle records.
- Student drivers must be at least 20 years of age and must be accompanied by a member of the Cornell faculty or staff.
- Each driver is personally responsible for any violations, fines or fees (including parking fines). These are not chargeable to the college.
In Case of an Accident
- Authorized drivers of rental/leased vehicles have auto liability insurance coverage through the College.
- If you are involved in any accidents while using the rental vehicle, you MUST complete, print, and return the accident form when you return the keys. There is a link to the accident form in your vehicle rental confirmation email.
- In the case of a minor vehicle problem (e.g. flat tire) you are responsible to make that repair yourself. Budget is not responsible for these minor vehicle repairs and those costs will be part of your rental expense.
- In the event of a serious break-down (e.g., engine failure) you will contact Budget (see contact information below), and they will tow the vehicle and make a decision about whether it can be repaired.
Student Group Vehicle Request Procedures
- Students may request use of rental vehicles only with the sponsorship and financial backing of a student organization recognized and funded by Student Senate.
- The request form must be signed by a Cornell faculty or staff member (preferably the group's advisor).
- A Student Activities Travel Plan must be completed with an accurate roster. If this form is not complete, the student organization will not be able to utilize rental vehicles.
- Student drivers must be at least 20 years of age, and accompanied by a Cornell faculty or staff member, as reasonable.
